Team management is available to admins at Settings → Team. From there you can invite new members, change roles, and remove access.
Fishladder uses a four-tier role system. Each team member is assigned exactly one role.
| Role | Permissions |
|---|---|
| Admin / Owner | Full access: manage team members and roles, edit board layout, manage themes, edit all items, create and manage API keys, connect integrations (Linear, Slack, Google Drive, HubSpot), set up Slack channel alerts, delete and restore River spaces, create backups, and access admin settings. Admins can open every board, restricted or not. |
| Member | Write access: create and edit tasks, create content, use AI features, vote on feedback, and set personal view preferences. Cannot manage team members, change roles, connect integrations, delete River spaces, or access admin settings. Sees restricted boards only when granted their group. |
| Viewer | Read-only access to all shared board data. Can vote on feedback and set personal view preferences. |
| Labeler | Restricted external-worker role. Labelers see none of the workspace — only the labeler projects an admin assigns them to, where they log time (live timer or manual entries) and work units. They sign in to a dedicated view and have no settings beyond signing out. |
Roles decide what someone can do; board groups decide which boards they can do it on. A Projects board that isn't in a group is open to everyone on the team. A board in a project group is restricted: admins can always open it, and members and viewers only once an admin grants them that group (the group header's ⋯ menu → Manage Access).
The rule applies everywhere a restricted board's tasks could surface, not just the board list. For someone without access, the board and its tasks behave as if they don't exist:
Access changes take effect within about 30 seconds.
Labelers are for external contributors — for example data-labeling contractors — whose work you want tracked without giving them any access to your workspace. Invite them from Settings → Team with the Labeler role (there are no app-access checkboxes for labelers), then create labeler projects and assign people to them at Settings → Labelers. Each project has a unit label (such as “rows” or “images”) describing what one unit of logged work means, and the same page shows hours and units per project and per labeler, with a date filter. Unassigning a labeler hides the project from them but keeps their logged history in your reports.
Admins can set a job title and department for each team member in Settings → Team. These fields are used by AI features like smart assignment to match the right person to each task, and they appear on member profiles throughout the app.
Click the role badge next to a team member to change their role. Note that you cannot demote the last admin — there must always be at least one admin on the team.
Admins can remove team members from the team page. Removed members lose access to all team data immediately but their personal account remains active.
