Migrating from Notion

This guide walks you through importing your Notion databases into Fishladder Projects, Roadmap, or Feedback.

Before You Start

  • You need a Notion account with access to the databases you want to import.
  • You must be an admin on the Fishladder team you're importing into (or create a new one during the wizard).
  • The import is read-only — nothing in your Notion workspace will be changed.
  • Notion migrations use CSV export rather than OAuth. You'll export your data from Notion first, then upload it to Fishladder.

Step 1: Select Source

Go to /migrations and select Notion from the source platform dropdown, then click Continue.

Step 2: Export Your Notion Database

Unlike Asana and Monday.com, Notion doesn't support OAuth for third-party data access. You'll need to export your database manually:

  1. Open the Notion database you want to migrate (e.g. your roadmap, task board, or feedback log).
  2. Click the ··· menu in the top-right corner of the database.
  3. Select Export.
  4. Choose CSV as the export format.
  5. Make sure Include subpages is off — only the top-level database rows are needed.
  6. Click Export and save the file to your computer.

Which database should I export?

Export the database that maps to what you want in Fishladder:

  • A task or sprint board → imports into Projects
  • A roadmap or planning database → imports into Roadmap
  • A feedback log or customer insights database → imports into Feedback

If you want to import multiple databases, you'll run the wizard once per database.

Step 3: Upload Your CSV

Back in the Fishladder migration wizard, click Upload CSV and select the file you exported from Notion. The wizard will parse the file and show you a preview of the rows and columns detected.

Step 4: Select Destination

Choose where the imported data should go:

  • Projects — Imports rows as tasks into a Fishladder project board.
  • Roadmap — Imports rows as roadmap items.
  • Feedback — Imports rows as feedback entries.

Step 5: Choose a Team

Decide where the imported data should live:

  • Create a new team — A fresh Fishladder team will be created with the data you import.
  • Import into existing team — Select one of your current teams. The wizard will check for naming conflicts.

Step 6: Resolve Conflicts (Existing Teams Only)

If any imported project or item names match existing Fishladder names, you'll see a conflict resolution screen. For each conflict, choose:

  • Update — Merge new items into the existing project or roadmap.
  • Rename — Import as a separate item with a modified name.
  • Skip — Don't import that item.

Step 7: Map Fields

The wizard will attempt to auto-detect how your Notion columns map to Fishladder fields. Review and adjust the mapping before importing.

Status Value Mapping

Notion lets teams name their status values freely. After field mapping, the wizard will show each unique status value from your CSV and ask you to map it to a Fishladder status:

Common Notion valueMaps to
Not startedTo Do
In progressIn Progress
Done / CompleteDone
BlockedBlocked
ArchivedDone (archived)

Any unrecognised values can be mapped manually or skipped.

User Mapping

For each person found in your Notion CSV, choose how to handle them:

  • Map — Link to an existing Fishladder team member.
  • Invite — Send them an email invitation.
  • Add (no invite) — Add to the team silently.
  • Skip — Their name will appear on tasks and items as a text label, but they won't have a Fishladder account.

Users already in your team are auto-detected and shown with a "Joined" badge.

Note: Notion exports person fields as display names, not email addresses. If Fishladder can't automatically match a name to an existing team member, you'll be prompted to confirm the match manually.

Step 8: Import

Review a summary of what will be imported, then click Start Import. You'll see real-time progress as each row is processed. Once complete, click Go to Projects, Go to Roadmap, or Go to Feedback depending on your destination.

Troubleshooting

"No columns detected" after upload
Make sure you exported as CSV (not Markdown or PDF). Re-export from Notion and try again.
Person fields show as blank
Notion sometimes exports person fields as empty if the user has restricted their profile visibility. You can manually assign these after import.
Status values aren't mapping correctly
In the status mapping step, check that each Notion value has been assigned a Fishladder equivalent. Any unmapped values default to "To Do."
Relations between databases are missing
Cross-database relations aren't included in Notion's CSV export. If you're migrating a task database that references a roadmap database, import both separately and re-link items manually after import.
Date fields imported incorrectly
Notion exports dates in ISO 8601 format (YYYY-MM-DD). If you see garbled dates, check that your CSV wasn't reformatted by a spreadsheet app (like Excel) before uploading. Upload the original exported file directly.
